Who we are
Gryphon Sports Management ("GSM", "we", "us") is a hockey agency and advisory firm based in Toronto, Ontario, Canada. This policy explains how we collect, use and share personal information through gryphonsports.com. For privacy questions, contact us at info@gryphonsports.com or 1-888-300-0476.
What we collect
We collect only what you choose to give us through our forms, email or chat. Depending on the form, that can include your name, email address, phone number, city or region, a player's name and birth year, current team, league or level and position, what you would like help with, comments you write, a link to stats or video, and, for job applications, your CV and cover letter. We also receive basic technical information when you visit, such as your IP address and browser type.
Please do not give us sensitive information such as health details, government identification numbers, passwords or financial account numbers.
Players under 18
Many enquiries are about young players. If the player is under 18, a parent or guardian should submit the form. We collect a player's birth year rather than their full date of birth.
Job applications
If you apply for a role through our careers page, we collect your name, email, optional phone number, CV and cover letter. We use them only to consider your application. They are stored in our Google Workspace account and shared by email with our hiring team. We do not use them for marketing. We keep them for 12 months after the role is filled, unless you ask us to keep your details for future roles or to delete them sooner.
Our website assistant
The "Ask GSM" chat is an AI assistant. When you use it, the messages you type are sent to our technology providers (an AI service provider and the company that runs our server) so the assistant can reply. We do not keep a record of your chat. If you choose to send your name and contact details through the chat's contact form, we receive those details and a copy of that conversation so our team can follow up. The assistant gives general information only and can make mistakes. It is not legal, tax or financial advice. Please do not share sensitive personal details in the chat.
How we use it
- To respond to your enquiry and decide how we can help.
- To follow up with you about the services you asked about.
- To consider applications for roles at GSM.
- To send emails about upcoming events, if you signed up for them.
- To keep the website secure and working properly.
We do not sell your information.
Who we share it with
We share information only with service providers who help us run the website and our business, and only as needed to do so. They include providers of website hosting (Netlify), server functions (Supabase), the AI assistant (Anthropic), email, document and spreadsheet storage (Google Workspace), and our customer relationship management system (HubSpot). Some of these providers store or process information outside Canada, including in the United States, where it may be accessible to courts and authorities under local law. We may also disclose information if the law requires it.
How long we keep it
- Enquiries and contact details: 24 months after our last contact, unless you become a client or ask us to delete them sooner.
- Job applications: 12 months after the role is filled, unless you ask us to keep your details for future roles.
- Events email list: until you unsubscribe.
- Website logs: for the period set by our hosting providers.
How we protect it
We use reasonable technical and organizational safeguards, including encrypted connections and restricted access to the systems that hold your information. No method of transmission or storage is completely secure.
Cookies and similar tools
Our website does not currently use analytics or advertising cookies. The chat assistant uses your browser's session storage to keep the conversation open while you visit, and it is cleared when you close the tab.
Your choices and rights
You can ask to see, correct or delete the information we hold about you, withdraw your consent, or ask us to stop contacting you at any time. Contact us and we will respond within 30 days. You can unsubscribe from event emails using the link in any email. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada and, if you live in Quebec, the Commission d'accès à l'information.
